With Houston’s booming job market, remote work is more popular than ever. Companies from New York, California, and all over the country are hiring talented remote employees living right here in the Greater Houston area.
But this leaves out-of-state HR departments with a major logistical challenge: How do you complete the mandatory Form I-9 verification within a new hire’s first three days on the job?
To solve this, many employers instruct their new remote hires to "find a notary public" to handle it. If you find yourself in this situation, there are a few highly important things you need to know about how an I-9 verification works in Texas—including a major legal detail that catches many people off guard.
The Big Texas Twist: No Stamps Allowed!
When a remote employee calls me and says, "I need you to notarize my I-9 form," I always start with a friendly clarification.
Under Texas law, Form I-9 cannot be notarized. Look closely at the document—there is no notary certificate, no oath wording, and nowhere to place an official notary seal. In fact, Texas notaries are strictly prohibited from placing their official seal on an I-9 form.
So, why did your employer send you to a notary? Because the federal government allows companies to designate an "Authorized Representative" to view your physical IDs and fill out Section 2 of the form on the employer's behalf. Because notaries are already trained experts at verifying identities and spotting fraudulent IDs, we are the absolute best choice to act as that Authorized Representative.

What to Bring to Your Houston I-9 Appointment
